Privacy Policy

ServerMate may store Discord user IDs, server IDs, channel IDs, role IDs and other server configuration required to operate enabled features.

Depending on the features a server chooses to use, ServerMate may also store ticket content, ticket form responses, transcripts, staff notes, ratings, staff activity statistics, moderation events, AutoMod events, automation settings, verification settings, reaction-role settings, welcome and goodbye configuration, analytics and other feature-specific data.

Leveling and XP.If a server turns on Leveling, ServerMate stores each member's Discord user ID, display name, avatar, XP, level, message count, the last time XP was earned, and the rank-card background they choose. The content of messages is not stored for Leveling; ServerMate only needs to know that a message was sent.

Applications.If a server uses Applications, ServerMate stores the questions an administrator writes, the answers an applicant submits, the applicant's Discord user ID, username and avatar, the status of the application, and the reviewer's decision, name and reason.

Verification.If a server uses Roblox verification, ServerMate stores the link between a Discord account and the Roblox account the user chooses to connect (Roblox user ID, username, display name, profile link and avatar), whether the user is verified in each server, and short-lived verification sessions. Where a server turns it on, ServerMate can also set the member's Discord nickname from their Roblox name. Members can see their connected account and the servers they are verified in on their ServerMate account page, and can disconnect it there at any time, which also asks ServerMate to remove the verified role.

When users sign in to the ServerMate dashboard, ServerMate may process basic account information supplied through Discord authentication, such as a Discord user ID, username and profile image, where required to provide dashboard access and permissions. ServerMate requests the Discord "identify" and "guilds" scopes. These let it see who you are and which servers you are in and have permission to manage, so it can show only the servers you are allowed to configure. ServerMate does not read your Discord messages, email address or friends list through sign-in.

ServerMate uses a sign-in session cookie to keep you logged in. If you arrive through a referral link, a small referral cookie may also be set so the referral can be credited.

ServerMate does not collect every message for general tracking. Message content is processed only where a feature requires it, such as tickets, transcripts, moderation logs, AutoMod, automations or other configured server-management features.

AutoMod may inspect message content in servers and channels where administrators have enabled content-based moderation rules. Depending on the configured rule, ServerMate may record the detected message, moderation result and related event data.

Server administrators control whether many message-processing features are enabled and may configure ignored channels, roles or users where supported.

ServerMate does not sell message content or use private message content for advertising.

Some features may allow server administrators to upload images or other assets, including custom welcome-card backgrounds. These files may be stored through third-party infrastructure or storage providers so they can remain available to ServerMate and Discord.

Uploaded assets may be made accessible through generated public URLs where this is technically required for the configured feature to work.

Users should only upload files they own or have permission to use.

Server administrators can choose to make their Leveling leaderboard public. It is off unless an administrator turns it on. When it is on, anyone with the link can see members' display name, avatar, level and XP for that server. No other member information, message content or account details are shown, and the page does not give access to the dashboard.

If you do not want to appear on a public leaderboard, ask a server administrator to turn it off or to remove your Leveling data, or contact ServerMate support.

The ServerMate website and dashboard use product analytics (PostHog) to understand which features are used and to find problems. Events can include actions such as creating or deploying a panel, together with a server ID.

If you visit through a ServerMate referral link, ServerMate records the visit so the referral can be credited. To avoid storing raw network details, IP addresses and browser user-agents are stored only as one-way hashes.

ServerMate is intended for people who are old enough to use Discord under Discord's Terms of Service (at least 13, or the higher minimum age in your country). ServerMate does not knowingly collect information from anyone younger. If you believe a younger person's information has been collected, contact support and it will be removed.

Information is used to provide ServerMate features, display dashboard data, process server configuration, operate ticket systems, generate transcripts, provide moderation and AutoMod tools, run automations, manage access features, deliver welcome and goodbye messages, troubleshoot failures and improve service reliability.

ServerMate may also use operational information to diagnose errors, prevent abuse and protect the service.

Servers using custom bot functionality may provide a Discord bot token. Tokens are stored in encrypted form and used only to connect and operate the configured custom bot.

Server owners remain responsible for protecting their token and resetting it if they believe it has been exposed or compromised.

Many ServerMate features are optional and are enabled or configured by server owners and administrators.

Server administrators are responsible for choosing which features operate in their community and for managing access to stored information through Discord and the ServerMate dashboard.

ServerMate does not sell personal data.

Information may be processed through Discord, Roblox (only where you choose to connect a Roblox account), hosting providers (such as Vercel), database providers (such as MongoDB), storage providers, analytics providers (such as PostHog) and other infrastructure required to deliver and maintain the service. Some of these providers may store data outside Australia, including in the United States.

Information may also be disclosed where required by law or where reasonably necessary to investigate abuse, protect users, protect communities, enforce ServerMate's terms or maintain the security of the service.

Configuration and feature data may remain stored while a server continues to use ServerMate. Short-lived records, such as Roblox verification sessions, expire after about ten minutes.

Tickets, transcripts, moderation records, AutoMod events, analytics, uploaded assets and other records may remain stored until they are deleted through an available ServerMate feature or a deletion request is processed.

Removing ServerMate from a Discord server stops future collection through that server but may not automatically delete all previously stored records or uploaded assets.

Some limited information may be retained where reasonably necessary for security, abuse prevention, legal compliance, backups or resolving technical disputes.

ServerMate uses reasonable technical and organisational safeguards intended to protect stored information, including restricted access controls and encryption for sensitive custom bot tokens.

No online service, hosting provider, database or transmission method can guarantee absolute security.

Server administrators can disable optional features, change configuration, remove stored items through the dashboard where supported, remove ServerMate from their Discord server or request assistance with data deletion.

Individual Discord users may contact ServerMate support to ask what information is associated with their Discord ID, to ask for it to be corrected or deleted, or to ask to be removed from a leaderboard. ServerMate may need to confirm your identity first, and may keep what it is required to keep by law or for security. Server administrators can also remove most member-level data, such as Leveling XP, from the dashboard.

If you are in Australia, the EU, the UK or another place with privacy rights over personal information, you may also have the right to access, correct or delete your information and to complain to your local privacy regulator.

ServerMate handles personal information with the Australian Privacy Principles in mind, including how information is collected, used, stored, disclosed and corrected.

If you have a privacy concern, contact ServerMate support first so it can be looked into. If you are not satisfied with the response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

If a data breach is likely to cause serious harm, ServerMate will notify affected server owners and the regulator where the law requires it.

This Privacy Policy may be updated as ServerMate changes or adds new features. The latest version will be published on the ServerMate website together with its effective date.
